Customer experience / Workflow study 02
A first conversation with a clear next step.
An AI phone assistant that knows when to hand the conversation over.
Illustrative study. This describes a proposed workflow, not a delivered client project or measured outcome.
The starting point
The work between the tools.
A small team cannot always pick up the phone while serving the customer in front of them. Voicemail captures a message, but often leaves another round of questions before anyone can help.
The design
One clear way forward.
Start with a narrow set of common requests. Identify the assistant clearly, gather the information the team actually needs, and prepare a useful summary. Offer a person when a request is unusual or the caller asks.

The boundaries
What a good demo
might leave out.
The assistant should not invent availability, prices or policy. Booking requires a confirmed integration. Recording, disclosure and retention need an agreed policy before launch. Urgent or sensitive conversations require a clear escalation route.
The evaluation
What we'd measure.
- Correctly captured contact and request details
- Successful transfers and fallback messages
- Unanswered questions and recovery paths
- Accuracy of summaries against the conversation
Agree a baseline and a review period before making an outcome claim. The right acceptance criteria depend on the actual business and system.
